Privacy Notice

How your information is looked after. Last updated 8 October 2026.

1Who I am

I am Virginia Lyndhurst, trading as Dawn to Dusk Celebrations. I am the data controller for the personal information described in this notice, which means I decide how and why it is used. “I” and “my” in this notice mean me; “you” means anyone who contacts me, books a ceremony with me or uses this website.

Address: Oakland Court, Gratwicke Road, Worthing, BN11 4BZ

Telephone: 07867 556898 • Email: Hello@dawntoduskcelebrations.co.uk

2What information I collect

When you enquire: your name, email address, phone number (optional), the type of ceremony, the date and venue or area you have in mind, and the message you write to me.

When we plan a ceremony: the names and contact details of the people involved, relevant dates and addresses, and the stories, memories, readings and music you choose to share. This often includes details about other people, such as partners, children, relatives, guests and people who have died.

When you book and pay: the proposal and booking records, invoices and payment records. If you pay by card through a payment provider, the provider handles your card details and I do not keep full card numbers.

Sensitive information: ceremonies are personal, so you may tell me things such as religious or other beliefs, health, bereavement, gender identity or sexual orientation. I only ask for what I need to write your ceremony, and I only use it for that. You never have to share more than you are comfortable with.

On this website: I do not use advertising or analytics cookies on this site. The Gallery page can show an embedded YouTube video; if you play it, YouTube (Google) may collect information about you under its own privacy policy. My hosting provider also keeps standard technical logs (such as IP address and browser type) to run and secure the site.

3Why I use your information, and my legal basis

  • To reply to your enquiry and talk through what you have in mind: it is in my legitimate interests to respond to people who contact me, and it is a step you ask for before entering a contract.
  • To plan, write and deliver your ceremony, and to manage your booking, invoices and payments: this is necessary to carry out our contract.
  • To keep accounts and meet tax and other legal duties: legal obligation.
  • To use the sensitive information you share (see section 2) in your ceremony: your explicit consent, which you can withdraw at any time.
  • To deal with complaints or protect myself in a dispute: legitimate interests and the establishment, exercise or defence of legal claims.
  • To share photos, testimonials or stories for marketing: only with your separate, optional consent (see section 8).

I do not use your information for automated decision-making or profiling.

4Who I share it with

I do not sell your information. I share it only where it is needed, and only with people and organisations who need it for that purpose:

  • Service providers who help me run the business: the website host and form handler that receives your enquiry (Netlify), my email provider, my accountant and any payment provider you choose to use.
  • Venues, funeral directors, registrars, musicians, photographers and others involved in your ceremony, but only the details they need, and only where you have asked me to or agreed to it.
  • Professional advisers, regulators or the authorities where the law requires it or where I need to protect my legal rights.

Some of these providers, including Netlify, may process information outside the UK. Where they do, I rely on the safeguards UK law requires for international transfers.

5How long I keep it

I keep information only for as long as I need it for the reasons above. My usual periods are:

  • Enquiries that do not lead to a booking: up to 12 months, then deleted.
  • Ceremony scripts and planning notes: up to 2 years after the ceremony, in case you ask for a copy or have a question, then securely deleted. If you would like me to delete them sooner, just ask.
  • Contracts, invoices and payment records: 6 years after the end of the tax year they relate to, as required for tax and accounting.
  • Complaints: 6 years after the complaint is resolved.
  • Records of marketing permissions: until you withdraw them, plus a short period to show I have honoured your choice.

6Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information I hold about you;
  • ask me to correct anything that is wrong or incomplete;
  • ask me to delete your information, where I have no good reason to keep it;
  • ask me to restrict how I use it, or to object to my use of it where I rely on legitimate interests;
  • ask for the information you gave me in a portable format, where I use it under a contract or with your consent;
  • withdraw consent at any time, where I rely on it. This does not affect anything done before you withdrew.

To use any of these rights, contact me using the details in section 1. I will normally reply within one month, and there is no charge. I may need to check your identity first.

7Keeping your information safe

I take reasonable steps to keep your information secure, including limiting who can see it and using reputable providers. If a security breach is likely to put your rights at risk, I will tell you and the Information Commissioner’s Office as the law requires.

8Photos, testimonials and stories

I will not use your photos, testimonials or stories for marketing, on this website or on social media, without asking you separately first. Saying yes is always optional and does not affect your booking. You can change your mind at any time by contacting me, and I will take reasonable steps to remove anything not yet published or that I control.

9Concerns and complaints

If you are unhappy with how I have used your information, please contact me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

10Changes to this notice

I may update this notice from time to time. The date at the top shows when it last changed, and I will tell clients I am working with if a change affects them.
